Document Management Technician - Turnover

Summary
As the Document Management Technician (DMT) assigned to the Turnover Group, the candidate is responsible for assisting in the turnover process which includes coordinating between Construction, Subcontractors and the Engineer of Record (EoR) to ensure turnover deliverables are met. The DMT will be involved in compiling Turnover Packages utilizing the Project’s Electronic document management system (EDMS) (Aconex) and Turnover tool (Book Builder) as well as other inhouse databases/spreadsheets.

Duties & Responsibilities:
• Perform large data entry using Aconex and accurately enter and update Records Meta-Data in the Electronic Document Management System (EDMS)
• Assign document numbers and revisions to all documents
• Perform prescribed Quality Assurance & Check (QA/QC) on all documents prior to processing 
• Circulate documents for review according to review process in a timely manner
• Transmit Turnover Packages to the EoR and follow up with responsible persons if comments are returned
• Assemble information, such as status reports, for supervisor and other department or project personnel as requested
• Interface with internal and external customers on a routine basis in the resolution of questions or problems
• Research and resolve minor software related problems within group/programmers, maintaining security and other database tables as needed
• Make recommendations for work process improvements, procedures and practices
• Ability to work overtime on a short notice as required
• Perform any other activities/assignments as directed by supervisor
 
Minimum Qualifications:
• Knowledge of document control and associated work processes
• Knowledge of technical vocabularies and terminology common to the assignment
• Function well in a fast-paced environment and deal with pressure in a professional manner
• Excellent working knowledge of an EDMS, computer applications (e.g., intermediate skills in the Microsoft Office suite)
• Must be proactive, use individual initiative, follow assignments through to completion, and be attentive to detail, quality control and deadlines
• Able to work independently with minimal day-to-day direction, and to exercise individual initiative, discretion, diplomacy, and judgment
• Possess a high degree of flexibility, have strong interpersonal skills and proven record as a team player
• Good oral and written communication skills
• Good organizational skills
• Effectively deal with and adjust quickly to changing priorities
• Ability to prioritize work and perform well under pressure

Preferred Qualifications:
• Previous Document Control Turnover experience in an Engineering and Construction environment
• Previous experience with Turnover deliverables or documentation
• Demonstrated familiarity with a variety of project documents and processing requirements
• Experience using Aconex with knowledge in generating reports and performing queries
