This position is for a Document Management Technician to support the our client in Edmonton. This assignment is located in Edmonton, Alberta Canada.
As part of the Document Management team under the direction of the Project Document Manager, plans, controls, and carries out document management and administrative duties to support the project. * Please note this position is not eligible for a relocation subsidy or living out allowance.
Duties & Responsibilities:
Capture project business documents and distribute to project team members, partners, client, and subcontractors using Aconex.
Complete all attributes associated with document type as directed by document management procedures and project specific requirements.
Perform quality check on documents.
Use a project document numbering procedure to uniquely identify project documents.
Support the implementation of the records retention and turnover plans.
Perform a self-verification at the end of each day on attributes completed in Aconex.
Communicate effectively with project team members, the client, and field personnel, to ensure proper retrieval of project business documentation/records.
Support quality assurance audits, internal technical reviews, client reviews, and external audits.
Process a high volume of project documentation.
Prepare routine standard reports from Aconex, and distribute to the project team.
Keep abreast of standard office technologies, techniques, and services.
Operate standard office equipment, copiers, fax machine, scanner, etc.
Perform / assist with other general administrative or clerical duties as assigned.
Backup Project Document Manager when needed
Must have the right to work and remain in Canada throughout the duration of the assignment without sponsorship.
Must be able to obtain a valid Canadian driver’s license for travel to the various jobsites as needed.
Must have a minimum of 3 to 5 years current experience in document management/records management. Experience must have been obtained within the past 5 years.
Must have at least 1-year current experience using Aconex for managing electronic records. Experience must have been obtained within the past 2 years.
Must have excellent written and verbal communication skills including proper use of grammar, spelling, punctuation, and syntax.
Must be able to demonstrate a high degree of individual initiative, discretion and diplomacy.
Must have experience using standard office automation tools including Microsoft Outlook, Word, Excel, Access, and web-based file transfer software.
Must be able to organize and prioritize document management/administrative deliverables.
Must be familiar with a variety of engineering, procurement, and construction documents.
Must be willing and able to work overtime as required with minimal notice.
